Whether or not you will be faced with questions you are expected to answer depends upon the type of presentation you are giving, the time available, and your topic. To handle this possibly daunting feat, you should find my following suggestions helpful.

1. Repeat the question. Even though you heard the question, others in the room might not have, so repeat it for their benefit. Also, repeat it for your benefit. You may not be positive what the questioner is actually asking, so repeating it will give you the chance to clarify the meaning. It will also give you a bit of time to phrase your answer.

2. Practice answers before the presentation. As you are preparing your presentation, think of the questions that most likely would be asked. Then rehearse or outline your answers. This will cut down on your nerves and give you credibility and stature as the expert in this area.

3. Have questions ready. Besides rehearsing answers, you should have questions that you would like to answer prepared. Sometimes, when we reach the question and answer portion near the end of a presentation, no one asks a question. At this point, you can say, “One question I am often asked is …” This usually breaks the ice and is followed by many more questions.

4. Control the questions. It depends upon your ease and whether or not you want to take questions during or at the end of your presentation. If I am giving a long workshop, I tell the participants at the beginning that I welcome questions throughout. The caveat here is to make sure that you stay in control. Often, there may be someone in the audience who keeps interrupting with questions, and the rest of the participants begin to get antsy. At this point, I would say something like, “Why don’t we come back to that later.” Or, “Why don’t you and I talk about that after the workshop?”

5. Admit when you don’t know the answer. Rather than guessing an answer you are not sure about, admit that you don’t know the answer. You could ask the audience if anyone there might know the answer (which creates a hero among the participants), or ask the questioner for his/her business card and say you’ll find out the answer and get back to them with it. Just be sure you do follow up.

6. There are no dumb questions. Someone asking a question may feel like they are asking a stupid question. To encourage that person and others in the audience to feel good about posing questions, I always say, “That’s a good question.” It’s amazing how many excellent questions will follow.

7. Embrace the question and answer session. Why? Even though this portion of your presentation may be the most taxing for you in the beginning, it will help you with planning upcoming presentations. You will get a feel for what your audiences want to know and it will give you more confidence as you become more at ease with speaking “on the spot.”

Regardless of one’s nationality and culture, cartoons and comic strips are the most universally accepted format for humor in public speaking engagements. These pieces of visual humor are seen in newspapers and magazines in most areas of the world. They may be found in newsstands in large cities, or in large libraries.

It might be fun to collect cartoons and comic strips when you travel so you have a ready supply when you need one for a speaking engagement. Be careful to avoid cartoons that have political overtones. If you are speaking to a small group, you can show the periodical or pass it around. If you want to use the cartoon or comic strip in a visual, you may need permission from the artist or copyright owner. Always read the caption for a foreign audience and give them time to mentally translate what you say. It may take what seems to be forever (4-6 seconds) for the idea to sink in. Another good resource for cartoons is ‘Witty World International Cartoon Magazine’ by Creators Syndicate.

Other forms of visual humor that transcend most cultural barriers are juggling and magic. Good resource materials are available on both topics. ‘Speaking With Magic’ is a book by Michael Jeffreys that not only teaches you simple tricks, but gives you the points you can relate to the trick. Two good magic videos for speakers by master magician Tom Ogden are ‘Teaching and Training with Magic’ and ‘The Magic of Creativity.’

In Thailand, I used props as icebreakers. I used oversize money to pass out to the crowd because I knew they were interested in ‘BIG MONEY.’ I also used some softballs that looked like dollar bills so they would have money to ‘THROW AROUND.’

Cell phones have come a long way – regardless of whether you’re a business person or stay-at-home mom, having a cell phone with you is no longer a privilege – it’s a NECESSITY. In this modern technology age, the cell phone has progressed from being just your average communication device. The cell phone is now also a personal organizer, diary, calculator, timer, alarm clock, emailing device, faxing equipment, news reporter, etc.

In times of emergency, a cell phone can and will definitely prove to be a life-saver and 14-year-old Kelly Emerson can attest to that. Getting lost in a jungle is no fun for the teen. But thanks to her careful and wary mom, Kelly took a cell phone with her and when she got lost in the jungle, the cell phone she had with her saved her life. The Federal Communications Commission (FCC) recently suggested that communication companies work harder to incorporate a location pinpointing device and technology on cell phones so that call receivers can check the location of the caller in times of emergency. For people like Kelly Emerson, the cell phone saved her life – but with an advancement of technology, the caller or owner of the cell phone may not even need to be awake or conscious in order for others to detect their location. Well, there are pros and cons to that kind of technology, and currently, this recommendation has come under fire and is under a lot of debate today. People are not keen on turning their cell phones into personal tracking devices because of very obvious reasons – it’s a form of intrusion into their personal lives. And instead of saving lives, cell phones with this ability may even become a threat. Let’s say, a murderous husband is trying to track down a runaway wife and is able to detect her location via her cell phone.

While individuals are quite confused about this new cell phone technology, large corporations are more than happy to welcome this new cell phone technological advancement. Imagine…with this personal tracking device installed into their customers’ cell phones, companies can locate the customers via their cell phones. If the customer is within the vicinity of their outlet, they can instantly send messages or make calls to that customer!

However, telecommunication companies are stumped on whether this new cell phone feature should be incorporated into future cell phones. Like the Internet, privacy is a huge problem. Personal information is big in the data-mining business, but so is privacy.

We’ll just have to see how far cell phone companies are willing to go to make their bucks!

Far-reaching environmental legislation continues to change the way Americans live, work, and run their businesses. For the past decade and a half, companies have worked toward meeting the latest air quality standards set by the Environmental Protection Agency (EPA).

In 2005, regulations introduced by the Clean Air Act of 1990 came into full effect with the goal of reducing harmful emissions by 57-billion pounds per year. The act continues to have a huge impact both economically and environmentally as it targets the sources of urban air pollution, acid rain, and stratospheric ozone depletion.

Air pollution is not a new problem in the United States. During the 1940s, a series of pollution-related disasters forced Americans to acknowledge the need for clean air standards. The worst of those incidents took place during a five day period in 1948, when smog caused by industrial emissions and coal-burning furnaces killed 20 people and sickened nearly 7,000 others in the small town of Donora, Pennsylvania.

The tragedy spurred the federal government to take control of air quality management. In 1955, the Air Pollution Control Act was introduced to mandate the national investigation of air pollution. More stringent air quality controls were later established with the creation of the Clean Air Act of 1970 and the formation of the EPA. In 1990, the Clean Air Act was revised to include the following amendments:

* Title I – strengthens measures for attaining national air quality standards

* Title II – sets forth provisions relating to mobile sources

* Title III – expands the regulation of hazardous air pollutants

* Title IV – requires substantial reductions in emissions for control of acid rain

* Title V – establishes operating permits for all major sources of air pollution

* Title VI – establishes provisions for stratospheric ozone protection * Title VII – expands enforcement powers and penalties

The legislation not only provides the EPA with innovative regulatory procedures, but allows for a variety of supportive research and enforcement measures. Individuals may face fines up to $250,000 and imprisonment up to 15 years, with each day of violation counted as a separate offense. Businesses may face fines of up to $500,000 for each negligent violation and up to $1 million per day for knowing endangerment. Many corporations must apply for national operating permits because of the emissions released by their processes.

Current industrial air quality testing is driven by the latest amendments. A major focus for manufacturers under the new provisions can be found in Title III, which identifies and lists 189 HAPs (Hazardous Air Pollutants) to be reduced within a ten-year period. This is a tremendous increase since the EPA had previously established standards for only seven HAPs out of only eight listed. These pollutants can result in serious health effects, such as cancer, birth defects, immediate death, or catastrophic accidents.

Among the air pollutants the act pinpoints for monitoring are VOCs (volatile organic compounds). These chemicals are identified as organic because of the presence of carbon, but many are synthetically created. VOCs include gasoline, industrial chemicals such as benzene, solvents such as toluene and xylene, and tetrachloroethylene (perchloroethylene, the principal dry cleaning solvent). Many VOCs, such as benzene, are present on the HAP list because of the threat they pose to human health. These pollutants may cause death, disease, or birth defects in organisms that ingest or absorb them.

There are a variety of methods for the determination of TO (toxic organic) compounds in ambient air at parts-per-million (ppm) and parts-per-billion (ppb) concentration levels. Following the EPA’s TO-14, TO-14A, or TO-15 Methods, VOCs in air are collected in specially prepared canisters and analyzed by gas chromatography/mass spectrometry (GC/MS) instruments.

To test air quality using these methods, a sample of ambient air from a source must be drawn into a pre-evacuated specially prepared canister. After the sample is collected, the canister valve is closed, an identification tag is attached to the canister, a chain-of-custody (COC) form completed, and the canister is transported to a laboratory for analysis.

Upon receipt at the lab, the proper documentation is completed and the canister is attached to the analytical system. Water vapor is reduced in the gas stream by a dryer (if applicable), and the VOCs are then concentrated by collection in a cryogenically cooled trap. The refrigerant, typically liquid nitrogen or liquid argon, is then removed and the temperature of the trap is raised. The VOCs originally collected in the trap are revolatilized, separated on a GC column, and then run through one or more detectors to identify the components and concentrations in each sample. Findings are thoroughly documented in a written report which is presented to the client.

The qualitative and quantitative accuracy of these analyses is of the utmost importance. Difficulty arises in part because of the wide variety of TO substances and the lack of standardized sampling and analysis procedures.

Chemical manufacturing plants, oil refineries, toxic waste sites or land fills, and solid waste incinerators are just a few of the many sources of hazardous air pollutants. The financial cost to install state-of-the-art controls is great.

According to studies conducted by the Foundation for Clean Air Progress, exposure levels for ozone and particulates have decreased and four of the six most serious pollutants identified by the Clean Air Act of 1970 are no longer being released into the air at unhealthy levels. These improvements fly in the face of data that shows increased population growth and energy usage in the United States. Regulatory vigilance and technological advances in environmental monitoring have made cleaner air a reality.

At the end of the day, bad news has to be conveyed just as good news does. However, the way in which it is conveyed can create a different response for the recipient. There’s a mnemonic: KKK which stands for: K – Kiss; K – Kick; K – Kiss again.

This suggests that what we should do is write something positive first (Kiss), then deliver the bad news(Kick) and Kiss again with another positive statement. Here’s an example of a “No” job letter that follows this formula. See if you can identify the KKK elements:

This type of letter is of course, still disappointing for recipients. But letting them know that they were worthwhile candidates, that there were numbers of other equally well qualified candidates and you found someone who was more suitable, is a less damaging approach.

The trick is to say “no” or deliver the bad news with compassion for the dignity and feelings of the recipient. If you follow the formula, you’ll find it works well.

Writing and walking are a seemingly odd mix of topics for an article, but they go well together. Particularly if you write during breaks in your walk.

Writing Journals

Whether you are writing articles or the great American novel, you will inevitably suffer from writer’s block. A good way to defeat the block is to go for a walk or hike in a park or open local area. Walking gives you a chance to think through things, let your mind wander and clear out the riff raff.

As you walk, your subconscious will be working and kicking out ideas to get you going again. You don’t want to lose these ideas, which can be a problem when you are a few miles from home and your computer. Frankly, nothing is more frustrating than getting an idea and then losing the thread while you hustle home.

I primarily write information articles for web sites. Unlike a novel, the pure volume of articles is problematic. Coming up with hundreds of unique topics can be maddening, particularly if the subject matter is rather dry. Just imagine trying to write 100 articles on tax issues! One tends to end up staring at the wall for hours on end.

I come up with my best ideas while walking on the beach here in San Diego, California. While the beach and tax articles might seem an odd mix, the ghosts of IRS agents apparently congregate on the beach and ideas become plentiful. I’ve tried two methods of keeping track of ideas while walking.

I first tried taking a dictation machine with me, but it didn’t really work out. You would be surprised how loud the ocean is on the recording. I also found it difficult to pick up the thread again when I sat down to listen to my ramblings. Fortunately, writing journals turned out to be a better option.

An author friend of mine that publishes novels suggested taking a writing journal with me on the beach strolls. He apparently had great success working out plot twists for his novels while hiking around Palomar Mountain, a good hiking spot to the east of San Diego. I gave it a try and the rest is history.

I prefer writing journals to dictating for a few reasons. Initially, it is easier to just sit down wherever you are and write out an idea and story lines. I also find it easier to pick up the thread when I plop down in front of my computer to actually start writing.

Writer’s block is a problem for every writer, regardless of the type of writing. If you’re having problems with it, you might try going on a walk and taking a writing journal with you.
